Position Title: Executive Assistant to the CEO

Organization Summary
We are looking for an Executive Assistant to the CEO of a newly formed, not yet publicly launched, nonprofit organization dedicated to steering the development and use of artificial intelligence (AI) toward outcomes that benefit individuals and society.
Position Summary
We are seeking a highly organized and detail-oriented Executive Assistant to support our CEO. This is a pivotal role that provides direct administrative, operational, and strategic support, helping to ensure the CEO’s time and energy are focused on the highest-priority work. The ideal candidate is tech-savvy, a strong communicator, and thrives in a fast-paced, entrepreneurial environment. Key Responsibilities
Executive Support
- Manage and maintain the CEO’s calendar, including scheduling internal and external meetings across multiple time zones
- Manage the CEO’s email inboxes, triaging and responding to messages on a timely basis
- Coordinate travel logistics, itineraries, and expense reports
- Track and prioritize action items, deadlines, and follow-ups for the CEO
- Serve as a gatekeeper and point of contact for internal and external stakeholders
Project & Operations Support
- Support preparation of materials for board meetings, presentations, speaking engagements, and other events
- Manage small projects or initiatives on behalf of the CEO, ensuring timely execution
- Coordinate cross-functional communications and task tracking to ensure smooth execution of priorities
Communication & Documentation
- Draft, proofread, and format correspondence, reports, and other written materials
- Maintain key organizational documents, shared drives, and confidential files
- Help ensure consistent messaging and a professional tone in communications from the CEO’s office
Qualifications
- Exceptional organizational and time-management skills, with the ability to manage multiple priorities and deadlines
- Superior oral and written communication skills, with meticulous attention to detail
- Proficient with modern tools including Google Workspace, Zoom, Slack, and Monday
- Discretion and sound judgment when handling sensitive information
- A proactive, solutions-oriented mindset with the flexibility to adapt in a fast-paced, start-up environment
- An interest in the ethical and societal implications of AI
Preferred Attributes
- Experience in a nonprofit, philanthropy, tech, or policy-related environment
- Background or interest in AI, emerging technologies, or public interest technology
- Comfort working independently in a remote team environment
